CER Secretary
The Secretary is the primary communications facilitator within CER and plays a key role in ensuring the effective operation of the General Assembly and Steering Committee before, during, and after meetings.
Working with the Steering Committee and Chairperson, the Secretary helps determine agenda items, prepares and distributes meeting notices, agendas, previous minutes, and supporting documents, and ensures requested reports and information are available. The Secretary also helps arrange meeting logistics and accommodation where required.
The Secretary records minutes of General Assembly and Steering Committee meetings, including key discussions, decisions, action points, attendance, apologies, and the individuals responsible for carrying out agreed actions. Approved minutes are posted to the AA fileshare.
The Secretary reports on actions arising from previous meetings, presents important correspondence, provides the Chairperson with relevant information for agenda items, and ensures no agenda item is overlooked.
Following meetings, the Secretary prepares draft minutes for the Chairperson’s approval, reminds responsible individuals of agreed actions, and promptly sends correspondence authorised by the General Assembly or Steering Committee.
Together with the Vice-Chair they produce a highlights report of the assemblies.
The Secretary maintains and updates the confidential CER General Assembly email distribution list for official CER communications, in accordance with the CER Digest of Decisions (June 2016), and, with the assistance of the Vice-Chair, maintains and updates the CER Digest of Decisions.
The Secretary ensures that the RECLO and Electronic Communications Committee (ECC) receive the information necessary to keep the CER website current and may assist with updates when appropriate.
The Secretary also regularly communicates with GSO, assists members with setting up AA Mail addresses, registering their IG officers with GSO, and getting access to the Filestore.
The Secretary also keeps track of officers rotation and makes sure vacancies are announced well in advance. When a new officer is elected they ensure the officer is properly registered with AAGB and receives access to their AA Mail address.
The CER Secretary normally responds to emails within 48 hours.
